The Opportunity
The Operations Supervisor is a transformational role focused on optimizing P1 Service's post-dispatch service cycle operations. role serves as the critical bridge between field operations and accounting, enabling Service Managers to focus on PM contract management and field leadership excellence. 

What You'll Do 

Service Cycle Administration & Excellence 

  • Monitor and manage daily flow of service orders from technician completion through final billing 

  • Review Service Order Status Reports to identify aging issues and bottlenecks 

  • Coordinate with Service Coordinators on proper service order classification 

  • Manage Hold Credit and Hold Parts queues to expedite resolution 

  • Develop and maintain parts tracking system with warehouse team 

  • Monitor and reduce WIP (Work in Progress) aging, particularly orders beyond 4 weeks 

  • Coordinate cost transfers and amendments with appropriate parties 

  • Assist in PM Contract review process  

Billing Process Optimization 

  • Monitor service orders from completion through Invoice status 

  • Manage draft invoice requests and route to appropriate PM Contract Managers 

  • Consolidate audit steps to reduce touches per service order 

  • Develop exception-based approval processes for routine work 

  • Create automated workflows for auditing process 

Operational Data Analysis & Reporting 

  • Create and maintain documentation showing service order aging, billing cycle times, first-call completion rates, technician utilization, and contract vs. non-contract service mix 

  • Develop data to assist in highlighting bottlenecks, efficiency opportunities, and resource allocation recommendations 

  • Identify patterns in service call volumes and types 

  • Forecast resource needs based on historical data 

  • Highlight opportunities for preventive maintenance sales 

Training & Knowledge Management 

  • Maintain up-to-date process documentation 

  • Support Service Manager transition to new responsibilities 

  • Facilitate cross-training initiatives 

  • All other duties as assigned

Process Improvement & Standardization 

  • Identify redundant steps and approval layers 

  • Propose and implement streamlined workflows 

  • Document standard operating procedures 

  • Identify opportunities for automation and mobile technology improvements

Training & Knowledge Management 

  • Maintain up-to-date process documentation 

  • Support Service Manager transition to new responsibilities 

  • Facilitate cross-training initiatives 

  • All other duties as assigned

Supervisory Responsibility 

This position provides functional supervision and coordination to Service Coordinators, warehouse staff, and billing specialists. Direct reports may be added as the role evolves within the organizational transformation.

Requirements and Qualifications
Required:

  • Bachelor's degree in Business Administration, Operations Management, or related field, OR equivalent combination of education and experience  

  • 3-5 years of experience in operations management, preferably in service industries  

  • Experience with ERP systems and service management software  

  • Knowledge of billing processes and accounting coordination 

Preferred:

  • Experience with COINS ERP+ system  

  • Background in HVAC, plumbing, or mechanical service industries  

  • Project management certification or training  

  • Experience with process improvement methodologies (Lean, Six Sigma)  

  • Previous supervisory experience in service operations 

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment. This is a full-time, exempt position. Standard business hours with flexibility for operational needs. Occasional extended hours may be required during peak periods or system implementations. 

Travel 

Local travel to various worksites is required.
